We are the data controller for the personal information described here. You can contact us about privacy at sean@structure.org.uk or by post at our registered office.
This policy covers structure.org.uk, our booking site at book.structure.org.uk, our pillar websites, and the classes, sleep pods, workshops, coaching and programmes we run.
What we collect
- When you contact us or sign up for news: your name, email address, phone number if you give it, and what you tell us.
- When you use our Wi-Fi: the email address (and first name, if you give it) you enter on our Wi-Fi page, and whether you asked for news.
- When you create a booking account: your name, email address, phone number, the classes you book and attend, and your membership or pass details.
- When you pay: payment amounts, dates and status. Card details are handled by Stripe and never reach us.
- If you have a coached membership: the plan and notes your coach writes for you. These may include information about your health, fitness, sleep or wellbeing that you choose to share.
- If your employer books The Reset for you: your name and work contact details, and your answers to our check-ins and follow-up surveys.
- When you visit in person: your attendance at classes and sessions.
How we use it and why
- To provide what you've booked or bought: running your account, bookings, memberships and payments, and sending you sign-in codes and booking emails. Our lawful basis is the contract between us.
- To give you Wi-Fi access: we keep a record of who has used our Wi-Fi. Our lawful basis is our legitimate interest in running a safe network. We only send you news if you tick the box.
- To reply to you: answering messages and enquiries. Our lawful basis is our legitimate interest in responding to people who contact us.
- To send news: only if you've asked us to. Our lawful basis is your consent, and you can withdraw it at any time using the link in any email.
- Coaching and health information: we only record health-related information you choose to share, so your coach can plan safely and effectively. Our lawful basis is your explicit consent, which you can withdraw by asking us.
- The Reset outcomes report: employers receive an anonymised report only. We never share an individual's answers with their employer.
- To meet our legal duties: keeping financial records and records required of a registered society, including our membership register for community shareholders.

Some of these providers are based in, or use services in, the United States. Where your information leaves the UK, we rely on UK adequacy regulations or the UK International Data Transfer Addendum to protect it.
